CG Events Terms & Conditions

Events are RAIN OR SHINE

At Charlotte Grace Events, we pride ourselves on creating unforgettable events that leave a lasting impression. To make make that possible we put so much into planning our events. 

As you all know mother nature is very hard to predict when you plan an event so far in advance.  It is out of our control when it decides to become a concerning factor for one of our events. 


We have included our reasoning in why we hold our events regardless of rain or shine:


  1. There is no guarantee the event will rain out just because the forecast calls for rain. We have held events that the forecast did not hold true and had a wonderful event with great weather.
  2. Rescheduling is NOT AN OPTION  CG Events uses some of the best venues in the Chattanooga area that usually book a year in advance. There is no guarantee the venue would be available at another date that wouldn't interfere with another CG Event. There is also no guarantee vendors will be available for the rescheduled date. There is no guarantee it won’t rain on the rescheduled date.
  3. The money for advertising, insurance, venue costs, staff,  booking musicians, etc. has been spent in preparation for the event or is still due whether the event happens or not. Money for many these services are non-refundable.
  4. From past experience, customers still attend events even if the forecast calls for rain. We have had vendors report that the rainy event was one of their best events. 


* The ONLY reason an event will be canceled is due to weather caused by acts of God that could potentially cause injury or threat to life, has caused damage to the venue OR the venue itself cancels due for any reason on their end out of our control. These circumstances are out of Charlotte Grace Events control therefore NO REFUNDS OR TRANSFERS ARE AVAILABLE.

VENDOR CANCELlATION & Transfer POLICY

VENDOR CANCELLATIONS

FOR ALL CG EVENTS (EXCLUDING NON-REFUNDABLE CAMBRIDGE SQUARE EVENTS & HOLIDAY ON HAMILL)–  If YOU CANCEL your application for an event, regardless of the reason, UP TO 60 DAYS BEFORE THE EVENT, there is a $75 cancellation fee with your balance refunded to you, OR you may transfer the  entire application to another event IF A SPACE IS AVAILABLE IN YOUR CATEGORY. (See application transfer rules below) If you cancel your application for an event ON the 60th day before the event  UP TO 30 DAYS BEFORE THE EVENT YOU CAN TRANSFER your application ONLY & ONLY IF A SPACE IS AVAILABLE IN YOUR CATEGORY AT ANOTHER EVENT. TRANSFERS ARE NOT GUARANTEED. NO REFUNDS WILL BE GIVEN. On the 30th day and the days leading up to the event, NO REFUNDS will be given  OR event APPLICATION TRANSFERS AVAILABLE for any reason.



**ALL CAMBRIDGE SQUARE EVENTS & HOLIDAY ON HAMILL EVENTS ARE EXCLUDED FROM EVENT CANCELLATIONS AND/OR TRANSFERS. 

THOSE EVENTS ARE NON-REFUNDABLE OR TRANSFERABLE.

APPLICATION TRANSFERS

Application transfers are ONLY good for Events held within 6 months from the original order/booking date. NOT THE ACTUAL EVENT DATE. 


EVENT TRANSFERS ARE ONLY AVAILABLE IF YOUR CATEGORY IS NOT FULL FOR A FUTURE EVENT WITHIN THAT 6 MONTH TIME SPAN. PLEASE REMEMBER OUT EVENTS BOOK UP EARLY SO YOUR CATEGORY MAY BE FULL THEREFORE AN EVENT TRANSFER IS NOT GUARANTEED.


We will provide a list of events that have space in your category within the 6 month time span allowed for your transfer and you must choose one of those events or forfeit your booth fee. Our events start booking way in advance therefore we CAN NOT GUARANTEE a space will be available for another event when you cancel. If you choose not to participate in one of the events offered you agree that you are forfeiting your booth fee for the canceled event.  


***This EXCLUDES ALL Cambridge Square Events, Holiday on Hamill and vendors who paid upfront for ALL CAMBRIDGE EVENTS for the year using the 15% discount. There are NO REFUNDS or APPLICATION TRANSFERS for these events.

*Application can only be transferred to events with in the same calendar year. 


*IF YOU ARE TRANSFERRING WITH A HIGHER BOOTH FEE YOU ARE REQUIRED TO PAY THE DIFFERENCE IN THE BOOTH FEE IN ORDER TO COMPLETE THE APPLICATION TRANSFER.


CANCELLATION & NO REFUND FOR THE FOLLOWING

* The ONLY reason an event will be canceled is due to weather caused by acts of God that could potentially cause injury or threat to life, has caused damage to the venue OR the venue itself cancels due for any reason on their end out of our control. These circumstances are out of Charlotte Grace Events control therefore NO REFUNDS OR TRANSFERS ARE AVAILABLE.

General Event Policies for ALL Charlotte Grace Events

  • Booths are not reserved until full payment has been received. 


  • CG Events are multi-vendor shows with craft vendors and direct sales vendors.  Vendors MUST sell NEW or handmade items, be direct sales, home or promotional companies. WE DO NOT ALLOW USED OR FLEA MARKET TYPE BOOTHS. NO USED SHOES, CLOTHES, CD'S, VIDEOS,  ETC...


  • With the exception of some direct sales vendors we DO NOT guarantee that you will be the only vendor selling a specific item. However, we will limit the amount of vendors in categories depending on the event size to ensure that a category is not over saturated.


  • We DO NOT provide electricity for food vendors. Quiet electric generators are allowed for food and outside vendors.


  •  You must provide your own table(s), tent (optional), chair, and any other items that you need for your booth setup.


  • Please stay within your allotted booth space and do not extend into the aisles. 


  • Vendors are required to stay open and staffed the entirety of the event and may NOT start breaking down their setup until the time the event is listed to be over. Failure to follow these guidelines will result in loss of acceptance for future CG Events.


  • Vendors must keep their booth area clean of trash and must leave it clean and nothing behind when the event is over. 


  • Food vendors & kid activity vendors must provide insurance with Charlotte Grace Events & Promotions, LLC listed as an additional insured no less than one week prior to the event.


  • For events that require outside setup the night before the event, security will be provided. However, the security company and Charlotte Grace Events & Promotions, LLC are NOT liable for any stolen or damaged items left unattended overnight. 


  • Vendors are held liable for any damages, by them or their party, that have 

                  been incurred while on the premises and/or to the property


  • Charlotte Grace Events will place booths as they see fit for each venue. Failure to follow these guidelines will result in being asked to leave the premises.


  •  In the unlikely, but possible situation: 15 days before the scheduled event, if we were faced with needing to cancel the event DUE TO (tornado, earthquake, illness, death, venue inaccessibility, fire, flood, and other acts of God out of our control) there will be no refunds issued. 


  • We are a faith-based business who takes great pride in providing family-friendly events for everyone to enjoy. We have the right to deny a vendors application if it their product does not align with our beliefs. If we see something that a vendor is selling that does not promote our company in a good light, we reserve the right to ask the vendor to remove it from their booth setup. If the vendor does not comply, Charlotte Grace Events reserves the right to ask the vendor to pack up thier booth and exit the venue property. We DO NOT ALLOW crystals, crystal balls, Fortune telling, edibles, alcohol, clothing or items with explicit language or verbiage or anything that promotes items that go against our Christian values.


  •  If for any reason your choose to transfer your application to another event, you may only do this once per event. Transferring applications to another event more than once per event is prohibited. Applications must be used within 6 months of the date that it was submitted. Event of choice is subject to availability. (see application transfer section for complete policy guidelines for this option) 

Camp Jordan Event Policies


  • Booth size: 10′ x 10′
  • Electricity: NONE
  • Your booth will be numbered – you will receive your booth number at vendor check-in. That information will be emailed and also posted in our Charlotte Grace Vendors Only Group.
  • Vendor Parking- ALL VEHICLES WILL BE PARKED IN A PARKING SPOT – NOT NEAR THE BOOTH!  
  • These event(s) feature both craft vendors and direct sales vendors. With the exception of certain direct sale vendors we DO NOT guarantee you will be the only vendor selling a particular item or product. 
  • Quiet and non-smelling electric generators are allowed.
  • You must provide your own table(s), tent (optional), chair, and any other items that you require for your booth set-up.
  • Please stay within your allotted booth space and do not extend into the aisle ways. 
  • Please pick up all trash in and around your booth space. 
  • Exhibitors are not allowed to drink alcohol on premises or during show hours. 
  • Due to Camp Jordan’s policy, no funnel cakes are allowed to be sold as they have a company contracted who sells funnel cakes. 
  • Due to Camp Jordan’s policy, Pepsi products are NOT allowed as they have a contract with Coke. 

Catoosa County Colonnade Event Policies


  • Booth size: 10′ x 10′
  • Electricity: LIMITED
  • Your booth will be numbered – you will receive your booth number at vendor check-in. That information will be emailed and also posted in our Charlotte Grace Vendors Only Group.
  • Vendor Parking- ALL VEHICLES WILL BE PARKED IN A PARKING SPOT – NOT NEAR THE BOOTH!  
  • These event(s) feature both craft vendors and direct sales vendors. With the exception of certain direct sale vendors we DO NOT guarantee you will be the only vendor selling a particular item or product. 
  • Quiet and non-smelling electric generators are allowed for OUTSIDE VENDORS ONLY.
  • You must provide your own table(s), tent (optional), chair, and any other items that you require for your booth set-up.
  • Please stay within your allotted booth space and do not extend into the aisle ways. 
  • Please pick up all trash in and around your booth space. 
  • Exhibitors are not allowed to drink alcohol on premises or during show hours. 
  • DUE TO THE COLONNADES POLICY NO PETS ARE ALLOWED IN THE BUILDING.


The Commons Event Policies


  • Booth size: 10′ x 10′ 
  • This is in Indoor & Outdoor Event. Indoor spaces are limited so they do go fast.
  • Booth set-up will begin on Friday and Saturday morning. Events will start at 10am.
  • Electricity: LIMITED
  • Your booth will be numbered – you will receive your booth number at vendor check-in. That information will be emailed and also posted in our Charlotte Grace Vendors Only Group.
  • Vendor Parking- ALL VEHICLES WILL BE PARKED IN A PARKING SPOT – NOT NEAR THE BOOTH!  
  • These event(s) feature both craft vendors and direct sales vendors. With the exception of certain direct sale vendors we DO NOT guarantee you will be the only vendor selling a particular item or product. 
  • Quiet and non-smelling electric generators are allowed for OUTSIDE VENDORS ONLY.
  • You must provide your own table(s), tent (optional), chair, and any other items that you require for your booth set-up.
  • Please stay within your allotted booth space and do not extend into the aisle ways. 
  • Please pick up all trash in and around your booth space. 
  • Exhibitors are not allowed to drink alcohol on premises or during show hours. 



Cambridge Square Event Policies


  • This is an OUTSIDE ONLY EVENT
  • Cambridge Square will NOT close the square until MIDNIGHT on FRIDAY EVENING.
  • There will be NO FRIDAY NIGHT set-ups. Set-ups will be from 7-10am on Saturday mornings with the events starting at 11am.
  • Booth size: 10′ x 10′
  • Electricity: NONE
  • Your booth will be numbered – you will receive your booth number at vendor check-in. That information will be emailed and also posted in our Charlotte Grace Vendors Only Group.
  • Vendor Parking- ALL VEHICLES WILL BE PARKED IN A PARKING SPOT – NOT NEAR THE BOOTH!  
  • These event(s) feature both craft vendors and direct sales vendors. With the exception of certain direct sale vendors we DO NOT guarantee you will be the only vendor selling a particular item or product. 
  • Quiet and non-smelling electric generators are allowed.
  • You must provide your own table(s), tent (optional), chair, and any other items that you require for your booth set-up.
  • Please stay within your allotted booth space and do not extend into the aisle ways. 
  • Please pick up all trash in and around your booth space. 
  • Exhibitors are not allowed to drink alcohol on premises or during show hours. 
  • Due to strict regulations we are not allowed to have certain types of vendors that will compete with the existing tenants of Cambridge Square. For this reason your application will have to be reviewed along with images that you send of items you sell in your booth set-up.


HOLIDAY ON HAMILL

  • Booth sizes range depending on location and vendor category.
  • THIS EVENT IS NON-REFUNDABLE FOR ANY REASON AT ANY TIME AFTER APPLICATION SUBMISSION. 
  • This is a fundraiser event and ALL proceeds from booth fees go towards Mission work locally and globally. 
  • This event partners with the Forgotten Child Fund and ALL vendors are required to participate in a toy or cash donation that can be made when apply to be a vendor.
  • NO PRODUCTS ARE ALLOWED TO BE SOLD THAT DISPLAY EXPLICIT LANGUAGE, IMAGES, CRYSTAL BALLS/FORTUNE TELLING or  ANYTHING THAT GOES AGAINST THE BELIEFS OF THE Church of God doctrine. If you have any questions or concerns if your products fall into any of those categories please email us with images of the items you sell.  CG Events reserves the right to ask someone to put something a way that goes against these rules. If a vendor refuses to comply we can ask them to leave the property. 
  • Categories will be limited but you may NOT be the only vendor selling your type of item. 
  • This is an Indoor/Outdoor event with booth spaces in both locations. Outdoor spaces could be located in the grass or on the paved parking lot. We DO NOT guarantee location your outdoor booth will be located. We provide a layout that is most conducive to the success of our vendors. 
  • Holiday on Hamill operates on booth fees and Company Sponsors. This is the way that we are able to provide advanced advertising,  FREE services to guests including a petting zoo, carriage rides, photos with Santa and a large toy donation to the Forgotten Child Fund. We would love for you to partner with us and join us in sponsoring this event. There are different sponsor levels available. Please contact us for more information on how you can be a part of this wonderful opportunity to give back this Christmas Season.
